How does virtual bookkeeping work?
Virtual bookkeeping works just like regular bookkeeping does, except everything is done through cloud-based technologies instead of in person. We exclusively use a cloud based bookkeeping software called Quickbooks Online to manage your books. First, we set you up with a Quickbooks Online account and connect it to your bank and credit card accounts. so that transactions can be downloaded as they go. Then, we categorize all your transactions with the proper name, date, and account. At the end of every month, we perform a bank reconciliation to ensure accuracy. Each month, via e-mail, you will receive a set of financial reports to view your financial progress. At the end of every year, we will send you a financial package that you can send to your tax preparer.
Are you 100% virtual?
Yes, we are a 100% virtual company, which allows us to be more efficient and streamline our business processes. It also enables us to work with any company in the United States. All communications are handled via email, phone, or video conferencing.
How do you get access to the bank statements?
There are multiple ways we can accomplish this including the following options:
1.) Working with your bank to create a read only user, that will allow us to access your bank statements remotely.
2.) Uploading the statements securely and directly to Quickbooks Online.
3,) Using our secure online portal system.
4.) Using an app, such as Hubdoc, that will automatically pull your bank statements each month.
We work with each client to develop a system that they are most comfortable with. Our priority is finding the right balance between security and convenience.
What about security? Is my information safe?
Yes, security is our highest priority. We use multi-factor identification wherever possible and use unique and difficult passwords on all applications. We exclusively store information remotely, so there will not be any information stored on our local hard drives. In addition, we use up-to-date computers with proper anti-virus software.
For additional security, we exclusively use Quickbooks Online because we are confident in their security protocols. They use the same security standards as your local bank to keep your data as safe as possible. Do you use any other bookkeeping software, or just Quickbooks Online?
There are a lot of bookkeeping software options out there, but we currently only work with Quickbooks Online. By only using one software, it allows us to focus our attention and service our clients more efficiently. Our goal is to be experts in one software program rather than mediocre in several. In our experience, we consider Quickbooks Online to be the best software option for small businesses. It will grow with your business and can be used for start-ups all the way to medium-sized businesses.
Is a Quickbooks Online subscription included in any of your monthly bookkeeping packages?
A subscription to Quickbooks Online is not included in any of our monthly packages. This is because there are several different types of subscriptions and each one fits the needs of a business differently. It is easier for you, as the client, to manage your subscriptions independently than having the subscription through us. It also makes it easier for you to switch subscriptions if your business needs change.
How does billing work?
For our monthly bookkeeping packages, we ACH your bank account on the first of every month. We have no contracts, so you are free to cancel at anytime. For other types of projects, we will have an initial assessment where we analyze what services you need, and agree upon a price before beginning any project. We make sure we are up front with our pricing, so there are not any surprises. If, for whatever reason, the scope of the project changes, we make sure to alert you as soon as possible so we can discuss those changes.

Our Business Advisory Services are designed for small businesses that need a more hands-on approach. We also enjoy working with business owners who value having a professional work through the books with them, helping them to establish business goals, and to plan for the future. Our Business Advisory Services revolve around having virtual video meetings, which allows you to ask any questions you have regarding your business.
